Management System

In the organizational structure of the Faculty of Engineering Unsrat, PSTI is under the command line of the leadership of the Electrical Engineering department, for academic administration tasks and organizing tri dharma activities. Management of the study program is carried out in stages according to the SOP that has been set and is responsible for reporting to the leadership of the Department of Electrical Engineering, and the Dean of the Faculty of Engineering as the highest leader of the work unit. Furthermore, at the University level, it will be stated in the Sam Ratulangi University Strategic Plan document.

Study Program Coordinator

The study program coordinator has the main task and authority to carry out activities in the fields of education/teaching, research, and community service which in its implementation can coordinate with the Head of the KDK and the Head of the Laboratory for the smooth implementation of the said activities. In addition, the coordinator of the Study program has main duties in other fields. Details of the main duties and authorities of the study program coordinator can be described as follows:

  1. Tri Dharma College Field
  • Develop and review curriculum, semester lesson plans, assignment designs and outlines of learning materials
  • Prepare a class schedule for each semester
  • Coordinate the determination of subject lecturers, academic supervisors, practical work supervisors, and final project supervisors with the Chair of the KDK.
  • Organizing the evaluation of the teaching and learning process
  • Monitoring the teaching and learning process.
  • Encourage and facilitate lecturers to attend seminars and carry out research activities.
  • Encouraging and facilitating lecturers to take part in training to increase scientific competence 
  • Coordinate tri dharma activities with the Head of the Department.

2. Student Affairs:

  • Student academic administration services
  • Facilitating students in carrying out practical work activities and certification
  • Facilitating student activities in academic and non-academic fields
  • Disseminating the rules in the teaching and learning process
  • Conduct coaching for students

3. Administration and management:

  • Coordinate the implementation of administrative tasks to educational staff
  • Evaluating the internal quality of the study program
  • Making performance reports

Management System

The PSTI functional and operational management system uses the following management functions approach:

  1. planning,functionally manifested in the activities of compiling or adjusting the strategic plan (Renstra) of the study program, and the annual work program plan as needed. At the beginning of each year the coordinator of the study program prepares a draft of the proposed work program plan which is then discussed and determined at the meeting at the beginning of the semester. The study program work plan that has been mutually agreed upon in the study program meeting at the beginning of the semester is then submitted to the Head of the Department to be integrated into the department's annual work program plan, which is then discussed and decided at the department's meeting to become the department's annual work program plan. The department head then conveys the work plan at the faculty level in a work meeting that is held every year. The head of the faculty submits the work plan to the leadership of the University through the Bureau of Planning, Cooperation and Information Systems at Sam Ratulangi University (http://bpsi.unsrat.ac.id) which is then discussed in the University working meeting.   2. Organizing: PSTI is led by a study program coordinator who is organizationally under the leadership of the Department of Electrical Engineering including all permanent lecturers in the study program (http://fatek.unsrat.ac.id/sites/index.php/struktur-organisasi). With reference to the main organizational structure of the engineering faculty, the functions organizingWhat is carried out by the study program coordinator is to report the implementation of their duties to the department head and coordinate the tasks that must be carried out by education staff and expert lecturer groups (KDK). Currently, PSTI still consists of four KDK, namely KDK Software Engineering, KDK Information and Communication Technology, KDK Database Technology and KDK Multimedia and Computer Graphics. The determination of the KDK is based on the Dean's Decree which is issued annually. In addition, the study program coordinator is also tasked with coordinating teaching and learning activities, lectures, academic guidance, student guidance for thesis final assignments and evaluation of student studies according to applicable regulations. Lecturer assignments in courses are discussed in meetings, as well as determining the burden of lecturers in lectures, thesis and academic guidance. The study program is also responsible for the periodical preparation and evaluation of the study program curriculum. In managing academic services in the study program, the study program coordinator is assisted with academic information system services for the allocation of resources (https://akademik.unsrat.ac.id/). At the university level, the study of the quality of learning is carried out by the Learning Development and Development Institute (LP3), which annually carries out learning improvement and development programs for all teaching staff (http://lp3.unsrat.ac.id/). Meanwhile, research and community service activities are carried out by the Institute for Research and Community Service (LPPM) (http://lppm.unsrat.ac.id/).

In the context of the recruitment process for lecturer staff or educational staff, the study program coordinator provides input on the number of formations, scientific qualifications/competencies in accordance with the VMTS study program, as well as the minimum education required to the university level through the Dean of the Faculty of Engineering in accordance with the needs of future study programs and based on the following rules: applicable rules. The selection process is fully carried out by the university. In this case, for teaching staff, preferably with an informatics engineering background, the number of formations required is determined by considering the ratio of the number of students, with a minimum education of S2. As for the education staff, it is adjusted to the needs, but the minimum education is D3. For the needs of administrative staff, it is relatively not a problem because it can be directly facilitated by the faculty management. HR management at the university level is carried out by the university staffing department and can be accessed online (https://sdm.unsrat.ac.id/). Improving the quality and competence of lecturers is directed at efforts to increase mastery of science and technology, and professionalism in carrying out learning process activities and assessing learning outcomes through further doctoral studies (S3), scientific meetings (seminars and workshops), courses, training, certification and workshops. Likewise for the development of the quality of education personnel. Furthermore, with regard to coaching for both lecturers and educational staff as well as administrative staff, it is carried out through giving awards to those who excel and sanctions for those who violate in accordance with applicable regulations. In this case the coordinator of the study program must set a good example in terms of discipline and take full responsibility in carrying out his main duties and functions. Likewise, in the case of assigning tasks to staff, it is carried out based on clear instructions for the staff who will carry it out. Monitoring the implementation of activities in the study program is carried out every day, week and month. Furthermore, the activities that have been carried out by PSTI are evaluated periodically by the Faculty's Quality Assurance Unit (UPM) and reported to the Quality Assurance Institute (LPM) and the Internal Supervisory Unit (SPI) at the University level.
  5. Controlling,Operationally, the control function on the implementation of work programs at PSTI is carried out periodically which refers to the monitoring and evaluation system (monev) of the study program whose supervision is in the head of the Electrical Engineering department and the head of the Engineering faculty. The control and evaluation is intended to ensure conformity between the results of activities with the objectives and standards that have been set. For this reason, monev is carried out on all components of the tri dharma activities of higher education, student activities and their supporting components through existing online services (https://edps.unsrat.ac.id/). The implementation is carried out by the Quality Assurance Unit (UPM) at the faculty level and reported to the Quality Assurance Institute (LPM) at the university level. For monitoring and evaluation of the tri dharma activities of PSTI teaching staff, it is carried out every semester through online lecturer performance reports (LKD) (https://lkd.unsrat.ac.id/) and manually in the form hard copywhich is submitted to the department head and then forwarded to the UPM faculty and LPM at the university level. Evaluation of learning by students is carried out online every semester through the website (https://portalsit.unsrat.ac.id/). This learning evaluation is managed by LP3 at the university level. As for the quality evaluation by lecturers and education staff, it is carried out online via https://angketsdm.unsrat.ac.id/login_user.
